BeautyField Privacy Policy

1. Who operates BeautyField

BeautyField is currently owned and operated by Miriam Jones personally. This notice explains how information is handled when you use BeautyField's websites, Passport accounts, booking, package tracking, and related services.

Contact: general@beautyfield.app 8605 Santa Monica Blvd PMB #526022 West Hollywood, CA 90069

Salons and other providers use BeautyField to manage their own customer relationships and services. Their handling of salon records may also be described in their own privacy notices. Summer Salon's notice is available on its Booking and Package Policies page.

2. Information we collect

Depending on how you use the service, information may include:

  • Contact and identity information, such as your name, email address, phone number, account identifiers, and verification or account preferences.
  • Passport information you choose to provide, such as your display name, handle, profile image, date of birth, preferences, goals, and sharing choices.
  • Booking and transaction information, including appointments, selected services, package purchases, remaining visits, redemptions, payments, and refunds.
  • Information you or your provider supply for your care or visit, including consultations, intake answers, consent records, allergies, relevant health information, formulas, notes, photos, and personalization preferences.
  • Communications with us or your provider.
  • Technical and usage information, including signed-in feature activity, session identifiers, browser storage, security and transaction events, and information recorded when you acknowledge or accept terms, such as time, version, and IP address.

Not every feature collects every category. Please avoid submitting information unrelated to your service or request.

We receive information directly from you, from your provider, and from services involved in authentication, payments, communication, or calendar connections. Providers may import existing customer and appointment records from their previous systems.

3. How information is used

We use information to:

  • Provide accounts, bookings, package tracking, payments, and customer support.
  • Help providers deliver and manage services.
  • Verify access and connect customers with their existing provider records using the applicable identity checks.
  • Record purchases, visits, redemptions, refunds, and relevant consent.
  • Send operational communications, including verification, confirmations, reminders, package updates, and refund notices.
  • Maintain security, investigate errors or misuse, and improve the service using technical and feature-usage information.
  • Meet applicable legal obligations and maintain records needed for accounting, disputes, and service administration.

Marketing preferences are separate from operational communications.

4. Providers, Passport, and sharing

A provider's customer record can exist without a Passport account. Creating a Passport account does not create a new salon visit or erase an existing provider record.

Authorized provider staff may access information needed to manage their organization's customers and services. Passport sharing features allow certain information to be linked or shared according to available permissions. Revoking a sharing permission does not necessarily erase records a provider already holds for services it delivered.

The platform operator may access information when reasonably needed for support, security, maintenance, and administration.

5. Service providers and other recipients

BeautyField uses service providers to operate the platform, including:

  • Supabase/Lovable Cloud for database, authentication, and storage services.
  • Cloudflare for application hosting and request processing.
  • Stripe for payment processing.
  • Resend for email delivery.

Payment card details are entered through Stripe's payment interface. BeautyField retains transaction information, rather than full payment-card numbers.

For providers connecting Google Calendar, BeautyField's current outbound calendar entries contain busy times and an internal appointment reference rather than customer names or appointment notes. Inbound calendar synchronization stores busy intervals and event identifiers.

Provider-onboarding features may use Lovable's AI gateway with Google models and Firecrawl to process provider-supplied onboarding information or public website content. These features are distinct from customer booking and package tracking.

ClassPass and other external booking platforms may be used separately by a provider. Their own privacy policies govern those services; calendar connections do not make them Passport accounts.

We may also disclose information when reasonably necessary to comply with law, respond to lawful requests, protect people or the service, or carry out sharing you request.

6. Browser storage and analytics

BeautyField uses first-party browser storage for authentication sessions, booking drafts, interface preferences, and related functionality. It also records signed-in feature-usage events internally.

The current application does not include third-party advertising analytics or session-replay tools. Hosting and payment services may process technical information necessary to provide their services.

BeautyField currently does not automatically change its behavior in response to browser Do Not Track or Global Privacy Control signals. This does not limit rights you may have under applicable law. Contact us with privacy questions or requests.

7. Retention and deletion

BeautyField does not currently apply a single automatic deletion schedule to all records. Information may remain stored unless it is removed through an applicable cleanup process or an approved request.

Retention needs differ for account information, salon service records, transactions, consent, security, and disputes. Copies may also remain in service-provider backups according to their backup processes.

Closing a Passport account or withdrawing a sharing permission does not automatically delete a salon's independent customer records or transaction records that must be retained.

8. Your choices and requests

You can edit certain Passport information and preferences through the available account tools.

You may request access, correction, export, or deletion by emailing general@beautyfield.app. For Summer Salon's independent records, contact hello@summersalon.co.

Requests are handled manually. We may verify your identity and authority before acting. We will explain any limitations, including information that must be retained or requests that need to be handled by your provider. We will respond as required by applicable law.

Self-service account deletion and comprehensive data export are not currently available. Please use the contact addresses above.

9. Children and accounts

BeautyField accounts are for adults aged 18 or older. Parents or guardians may arrange salon services for children and provide information relevant to those services. This does not create an independently controlled child account or establish a verified guardian relationship.

Contact us if you believe a child has created an account or information has been provided improperly.

10. Security

We use access controls and other safeguards designed to protect information. No website, storage system, or transmission method can be guaranteed completely secure. Protect your account credentials and secure access links, and notify us of suspected unauthorized access.

11. Changes to this notice

We will update the date when this notice changes and provide additional notice where appropriate or required. Material changes to contractual terms will be presented separately through the applicable acceptance flow.
